General Description:

The Administrative and Hospitality Services Assistant will perform daily duties in support of Hospitality Services (composed of Conferences and Events and Catering). This position will assist with the planning and support process for designated internal and external events. Reports to the Director of Hospitality Services.

Essential Functions and Responsibilities:

• Provide administrative support to the Hospitality Services leadership team.
• Prepare and distribute reports. Maintain records and files. Perform data entry.
• Assist with the selection, training, supervision, and payroll of student office workers.
• Type correspondence and proofread documents for content, typographical and spelling errors.
• Respond to inquiries and complaints in accordance with established policy and procedures.
• Perform office duties such as answering and routing calls, greeting visitors, ordering office supplies, and sorting mail. Operate and oversee service contracts and maintenance for office equipment.
• Coordinate university scheduling of functions for non-academic campus use by following procedures for requests, scheduling, and confirmations utilizing the department’s software.
• Process catering orders and provide catering support/assistance, including being present at catered events as needed.
• Coordinate campus use with Registrar’s office to allow priority for academic events while supporting internal and external facility requests.
• Attend regularly scheduled campus event information meetings with service providers and department representatives.
• Gather information from external facility rental inquiries. Forward to appropriate event coordinator/manager.
• Assist with planning university events. Coordinate room set-ups for both internal and contracted events.
• Assist with all aspects of the summer conference program.
• Facilitate selected rental contracts under the supervision of department leadership.
• Perform other duties as assigned.

Knowledge, Skills, and Abilities:

• Excellent oral and written communication skills, interpersonal skills, and problem solving skills.
• Extensive understanding of customer service principles and service recovery including ability to provide exemplary customer service constantly and consistently.
• Ability to be flexible and react quickly in a fast-paced, complex environment, involving many competing interests.
• Proficient with Microsoft Word, Excel, scheduling software, and use of internet.
• Strong organizational skills and the ability to prioritize effectively.

Required Qualifications:

1. 1.5 years of job-related work experience.
2. High School Diploma or GED.
3. Finalist candidates must satisfactorily complete pre-employment background check, physical exam, and drug screen (including marijuana).

Preferred Qualifications:

• Bachelor’s Degree in hospitality services, business, accounting, communications, or related field.

Work Conditions:

Work days vary depending on activities – some days require constant sitting in front of a computer and other days require long periods of time on feet.

Physical Requirements:

• Must be able to occasionally lift and and/or move up to 50 lbs. with assistance.
• Ability to sit for long periods of time or stand/walk for long periods of time.
